Using the QuickBook Import Users & 990 to 990-EZ Data Transfer Option
A check box option on the Exempt Organization Information Worksheet is titled QuickBook Import Users & 990 to 990-EZ Data Transfer Option. Check this box if the client will be filing Form 990-EZ and either of the following situations applies:
- You updated the return with QuickBooks data AND you want the program to copy the imported data from Form 990 to Form 990-EZ, OR
- You transferred data from a 2008 ProSeries/990 client file AND you want the program to copy the transferred data from Form 990 to Form 990-EZ.
Transferring data and updating a return with QuickBooks data
If you transfer data from last year's return and update the return with
QuickBooks data, be aware of the following possible situations:
- If you (1) transfer data from last year's return, (2)
update the return with QuickBooks data, then (3) re-import the QuickBooks
data (whether or not you have deleted the imported data), there may be
situations where a description and the corresponding amount are not on
the same line of a table on a form. Review the data in the tables in the
return and make any necessary corrections.
- If you (1) transfer data from last year's return then
(2) update the return with QuickBooks data, you may need to re-enter or
re-align some of the descriptions. The tax calculations are not affected
by this alignment issue.
- If you use the QuickBooks Import Users
check box, be sure to check all Form 990-EZ statements and tables
for accuracy, especially if these statements already contained
data that was transferred from a prior-year client file or entered directly
in this year's program.

Important information about QuickBooks accounts and tax form line assignments
We strongly recommend that you do the following for each exempt organization in your QuickBooks software before you update a return with QuickBooks data:
- Review the assignment of QuickBooks accounts, then assign accounts as appropriate.
- Review the tax form line assignments, then add, change, and delete tax form line assignments as appropriate.
Note the following:
- You can update Form 990, Form 990-PF, and Form 990-T returns with data from
QuickBooks, but you can't directly update Form 990-EZ returns with data from
QuickBooks this year. There is a QuickBooks Import Users check box
on Part II of the Information Worksheet. If you import data
from QuickBooks to Form 990 but want to prepare Form 990-EZ instead, checking
the QuickBooks Import Users box causes the program to copy
imported QuickBooks data from Form 990 and its statements to Form 990-EZ and
its statements.
- After you select the Update Return with QuickBooks Data
command from the ProSeries Import menu, you can select more
than one QuickBooks company file.
- Only the QuickBooks Administrator can use the Update feature with ProSeries,
and the QuickBooks company file must be in single-user mode.
- You can create or update a ProSeries return with data in the open QuickBooks
company file. Go to the QuickBooks File
menu, select Utilities, select Export,
then select Balances to ProSeries Tax.
- You can't create or update a ProSeries return from within the QuickBooks
Simple Start program.
Transfer of Trial Balance Import links
Form 990. Because of form changes, accounts with Trial Balance Import links
that were previously linked to Form 990, Part IX, Statement of functional expenses, Line 24f, All Other Expenses or Form 990, Part VII are not transferred and
must be re-linked.
